RESPONSIBILITIES

• Handle criminal cases from initial consultation through resolution in both state and federal courts within San Diego County.

• With the support of the Firm, generate, cultivate, and convert viable clients with an overall goal to increase the Firm’s revenue.

• Be a team player and serve as a reinforcement to the other attorneys at the Firm when needed.

QUALIFICATIONS

• Candidates must have experience as a practicing criminal attorney in California, preferably in San Diego County

• We are looking for someone with exemplary problem-solving, negotiation, communication, and time management skills who can hit the ground running.

• Quality over quantity (in years) of experience is what matters most. Equally important is the candidate’s personality, character, intelligence, and overall integrity.

• Fluency in written and spoken Spanish is preferred, but not required.

COMPENSATION

• The compensation package includes a base salary commensurate with skill and experience, plus substantial bonus compensation for revenue generated for the Firm.

• We offer annual health care expense reimbursement of $5,450, a generous PTO/Sick time policy, up to $5,250 per year in tax-free student loan and tuition repayment. and a 401(k) plan with a 4% Firm match. Additional benefits are in the works for 2023 and beyond.

Our growing San Diego based criminal defense law firm is seeking a detail-oriented, highly organized, passionate, emotionally mature, and self-directed person who can take on a wide variety of responsibilities as the Firm’s Legal Administrator (Director of Operations).

This executive-level position will be responsible for a myriad of activities in all phases of administration, personnel, finances, facilities, and business systems. The candidate will be expected to drive revenue growth and increase profitability. This position will be expected to expand upon the Firm’s existing strong culture of integrity, efficiency, and collaboration, providing unsurpassed service to its clients and the San Diego community. This position will have significant discretion and broad responsibility for the management of the Firm’s business operations and the supervision of its employees. The Administrator will report to, and work under the direction of the Owner.

This is not a position for an “Office Manager” or an “Administrative Assistant.” We need someone with hands-on experience, having previously worked with a law firm that had at least a $3 Million budget, and who has managed a team of at least 10 people. Knowledge of criminal law will be helpful but is not required. Candidates need not be a licensed California attorney.

You must be able to show evidence of ability to:

• Refine business processes and management systems ensuring profitable operation, while providing exceptional service
• Office management, including day-to-day operations, human resources tasks, directing non-attorney personnel, and communicating with third-party vendors and service providers on behalf of the Firm
• Implement, improve, and ensure adherence to the Firm’s policies and procedures in order to reflect the Firm’s high standards
• Competently meet with the Firm’s Bookkeeper and Accounting Team to report to Owner regarding the financial state of the firm on a bi-weekly basis
• Master the use of common financial reports to make decisions (i.e. budget variance, P & L, cashflow forecast, et. al.)
• Proficiently analyze marketing metrics and reports as well as contribute to strategic marketing initiatives through frequent contact with the Firm’s marketing team
• Proactively provide feedback to the Firm’s Owner regarding recruiting and office needs, including employee performance management and supervision
• Embrace strong attention to detail, transparency, and accountability
• Be metrics-driven and KPI-obsessed, understanding you cannot manage what you cannot measure
• Not just being comfortable with growth and change, but thriving in an environment where the entire team is constantly seeking to improve

• Conveying confidence in person and on the phone, demonstrating exceptional communication skills and an ability to develop rapport with prospective clients, current clients, and referral sources
• Directing the caller to the appropriate team member, consistent with the Firm’s key administrative policies
• Embracing attention to detail, transparency, and accountability
• Strong multitasking and task management skills
• Self-motivated team player with a strong work ethic
• Treating a client or task at 5:15 P.M. on a Friday with the same care and compassion as one Monday morning at 9:15 A.M.
• Managing multiple calendars and keeping schedules for more than one person
• Copying, scanning, filing (physical and electronic filing)
• Data entry using common web-based formats
• Familiar with MS Office Suite and Dropbox or similar
• Travel to Federal or State Courthouses for discovery pick up or filings

The Office Assistant’s primary goals are to support our Firm by providing outstanding support to our administrative team. The Office Assistant also sets the tone for a caller’s experience with us. You must be able to multi-task and think on your feet while making smart decisions, often under strict time pressures. Success in this position requires the right combination of communication skills, empathy, and ability to investigate the root of our (potential) clients’ problems.

Daily tasks shall include, but not be limited to:

• Implementing, improving, and ensuring adherence to the Firm’s policies and procedures to reflect the Firm’s high standards, while embracing attention to detail, transparency, and accountability
• Conveying confidence in person and on the phone, demonstrating exceptional communication skills and an ability to develop rapport with prospective clients, current clients, and referral sources
• Directing the caller to the appropriate team member, consistent with the Firm’s key administrative policies
• Creating a positive and professional first impression on behalf of the Firm, making visitors comfortable, offering beverages, etc.
• Treating a client or task at 4:45 P.M. on a Friday with the same care and compassion as one Monday morning at 9:15 A.M.
• Assisting our attorneys with calendar management
• Copying, scanning, file creation/maintenance/closure (physical and electronic filing), and categorizing the Firm’s expense receipts
• Data entry using common web-based formats to help maintain and keep updated a tracking system to monitor and report on progress with leads, prospective new clients, and referral sources
• Office maintenance, including keeping the Firm’s existing plants thriving
