Chief of Staff (Office Manager)
OVERVIEW

Our established, San Diego-based criminal defense law firm is seeking a detail-oriented, highly organized, and self-directed person who can serve as the Firm’s “Chief of Staff,” handling many of the Firm’s internal operations.

You must be able to multi-task and think on your feet while making smart decisions. These decisions must be driven by integrity and respect for everyone you encounter. Daily tasks shall include:

  • Oversee and manage daily office operations, including supply management, tracking key sales and other metrics, and overall organization of the office
  • Supervise administrative staff, including paralegals, administrative assistants, and non-attorney sales personnel
  • Manage accounts payable and receivable, including billing and client payments
  • Implement office policies, processes, and systems for efficiency and productivity
  • Coordinate with external vendors and service providers as needed
  • Embrace attention to detail, positivity, adaptability and accountability
  • Strong multitasking and task management skills; a self-motivated team player with a strong work ethic
  • Support the team in general administrative tasks as needed
Qualifications

A willingness to be immersed in the business is a must. Experience working at a law firm is preferred but not necessary to apply. More importantly, candidates must have a strong history of running offices. This is not an entry-level position. Nor is it a remote or hybrid position.

Compensation

A base salary will be commensurate with skill, experience, and will be at or above market. We offer a generous PTO/Sick time policy, up to $5,250 per year in tax-free student loan and tuition repayment, a 401(k) plan, and Firm sponsored medical insurance, disability insurance, and life insurance for full-time employees.

Office Assistant (Receptionist)
OVERVIEW

Our established, San Diego-based criminal defense law firm is seeking a detail-oriented, highly organized, and self-directed person who can serve as the first point of contact and “director of first impressions” for those seeking the help of the Firm.

  • Conveying confidence in person and on the phone, demonstrating exceptional communication skills and an ability to develop rapport with prospective clients, current clients, and referral sources (primary duty)
  • Identifying the type of caller and directing them to the appropriate team member, consistent with the Firm’s key administrative policies
  • Embracing attention to detail, positivity, adaptability and accountability
  • Strong multitasking and task management skills; a self-motivated team player with a strong work ethic
  • Treating a client or task at 5:15 P.M. on a Friday with the same care and compassion as one Monday morning at 9:15 A.M.
  • Managing multiple calendars and keeping schedules for more than one person
  • Copying, scanning, filing (physical and electronic filing)
  • Data entry using common web-based formats; Familiarity with MS Office Suite
Qualifications

A willingness to be immersed in the sales aspect of the business is a must. Experience working at a law firm is preferred but not necessary to apply. More importantly, candidates must have a strong customer service background. Spanish fluency is preferred. This is neither a remote nor a hybrid position.
